Before you begin
Confirm that you have access to an Organization and Workspace with permission to create Agents and Knowledge collections, and that you are authorized to upload institutional policy documents. Your institution may require specific syllabus statements regarding academic integrity, attendance, disability accommodations, or AI use, so collect the approved wording before you start drafting.
The built-in Syllabus Generator template does the structural work. It covers course information, learning objectives, required materials, grading schemes, schedules, and policy sections.
What to have ready
- Course logistics. Title, credit hours, term, and meeting schedule.
- Catalog details. Official course description and prerequisites.
- Academic content. Draft learning objectives and major assessment details.
- Approved policy text. Institutional and department wording, quoted exactly as issued.
Fill the Knowledge collection with institutional and course-level material only. Student rosters, prior-term gradebooks, and personal student records stay out of it.
Steps
Ground the Agent in approved policy
- Create the collection. In Knowledge, add a new collection with a clear name, such as “Department Syllabus Policies 2026”.
- Fill it with source material. Add current institutional policy documents, academic calendar dates, and approved boilerplate text.
- Create the Agent. Open Agents, click Create, select Template Catalog, and choose Syllabus Generator.
- Link the collection. Select your new policy collection in the Agent Knowledge settings and save the configuration.
- Tune the instructions. Review the default prompt in Instructions Studio and adjust the course name, department, and term specifics.
- Add Instruction Library sections that shape how the Agent writes, such as Source Citations or Concise Responses. Load only material the course audience is allowed to read, since an instruction cannot keep supplied text away from someone chatting with the Agent.
- Add a Safeguard if the course needs one. A syllabus Agent working from approved policy usually does not. Decline Out-of-Scope Questions is the one worth considering, and only if you expect questions well outside the material.
Draft and verify the syllabus
- Open a new Chat with the Agent and provide basic course parameters before generating full sections.
- Draft section by section, comparing each output against the official policy documents to confirm accuracy.
- Move the verified draft into your department syllabus template. Treat the generated text as a starting draft and take it through the same human approval as anything else you publish to students.
Check your result
- Required institutional statements are present and match approved wording exactly.
- Learning objectives are measurable and aligned with major course assessments.
- The schedule matches official academic calendar dates and meeting patterns.
- The AI policy section accurately reflects expectations for your course.
- The document is free of student names, grades, and personal data.
Troubleshooting
- The Agent invents policy details. Update the instructions to require direct quotes from the collection, enable Knowledge Base Constraint, or paste the official text straight into the Chat.
- The Agent ignores the policy collection. Verify that the collection is saved and enabled on the Agent. See Why is my Agent not using its Knowledge collection? for the full checklist.
- Output is too generic. Supply credit hours, assessment weights, and prerequisite details at the start of the Chat session.
- A long drafting session is drawing down your Credit pool. Generate text section by section rather than requesting a single full draft.
